The Project Coordinator confirms arrival times, setup progress, responsibilities, and any outstanding requirements.

3. Is the Venue Ready for Guests?

Before guests arrive, the venue must be viewed through their eyes.

The Project Coordinator checks seating, signage, registration points, branding, stage readiness, access routes, VIP areas, presentation spaces, refreshments, and overall cleanliness.

Guest movement should feel natural, and important areas should be easy to find without unnecessary confusion.

4. Has the Technical Setup Been Tested?

A beautiful venue is not enough if the technical systems are not ready.

The Project Coordinator works closely with the technical team to confirm that microphones, speakers, LED screens, projectors, presentation laptops, lighting, video playback, livestreaming systems, internet connections, and backup solutions have been tested.

Any speaker presentations, videos, walk-in music, or special cues should also be checked before the programme starts.

Testing early creates time to fix problems while they are still manageable.

5. Does Everyone Know the Plan?

The final check is communication.

Before the event begins, the Project Coordinator makes sure key team members understand the programme, escalation process, communication channels, guest priorities, and any last-minute changes.

A short team briefing can prevent hours of confusion later.

When everyone knows their role, the event runs with greater confidence and consistency.
